Confirming a date is the moment everyone has been waiting for. After the back-and-forth of collecting availability and picking the best option, you finally have an answer. The natural next step is to tell the group.

Before the Copy Announcement button, that meant writing a message from scratch. You would compose something like "Great news, we've picked a date!" then remember to add the event name, then check what day of the week June 21 actually is, then decide whether to include the event link or not. Small tasks each, but together they add unnecessary friction to a moment that should feel good.

The Copy Announcement button handles all of that in a single click.


What the Announcement Looks Like

When you confirm a date on a WhosFreeWhen event, a green Confirmed Date card appears on the event page. At the bottom of that card is the "Copy announcement" button.

Clicking it copies a ready-formatted message:

"Team offsite is confirmed for Saturday, June 21, 2025! See you there! Add to your calendar: https://whosfreewhen.app/event/abc123"

The message includes:

  • A celebration emoji at the start.
  • The event name in quotes.
  • The full date including day of the week.
  • A short closing line.
  • The direct link to the event so participants can add it to their calendars.

A small "Copied!" confirmation appears for a couple of seconds after clicking so you know it worked.


Why the Post-Decision Flow Matters

Most of the attention in group scheduling tools goes on the pre-decision flow: creating the event, sharing the link, chasing responses, analysing availability. But the post-decision moment is just as important, and it is often where the experience falls flat.

You have done the hard work. You have collected the data, made the call, and confirmed the date. Now the last step is telling the group in a way that feels positive and gets everyone to actually put it in their calendar. After the Announcement

Once you have sent the announcement, participants can open the event link included in the message and add the confirmed date to their Google Calendar, Apple Calendar, or any other calendar via the add-to-calendar button on the event page.

The link in the announcement is not a generic URL. It goes directly to the event page, which now shows the confirmed date prominently at the top. Anyone who missed the announcement or receives the link later will immediately see the outcome.


Frequently Asked Questions

Can I edit the message before sending it? Yes. It is copied to your clipboard and you can change anything you like before pasting. The generated text is a starting point.

Does the announcement include a time? Not by default, since WhosFreeWhen focuses on date-level availability rather than specific times. If your event has a specific time, add it manually when editing the message.

What if I want to announce in multiple channels? Click the button as many times as you need. Each click copies the same message to the clipboard.

Does the Copied! confirmation last long enough to notice? It shows for about 2.5 seconds, which is enough to register before it disappears.
