Most group social events happen at weekends. Parties, day trips, BBQs, sports events, birthday dinners: the vast majority are weekend plans. Yet when you look at a list of available dates sorted by participant count, weekdays and weekends are mixed together without distinction.

If you are specifically looking for a weekend, you end up scanning the list manually, noting which high-availability dates fall on a Saturday or Sunday, and then trying to find the pair that works best together. It is more work than it should be for an extremely common use case.

The Best Available Weekend card in WhosFreeWhen answers the question directly.


What the Card Shows

The card appears in the Insights tab, positioned between the Best Date Recommendation and the What If panel. It identifies the upcoming Saturday and Sunday pair with the highest combined group availability and shows both days together:

  • The weekend dates (for example, Sat Jun 21 / Sun Jun 22).
  • A horizontal bar for each day showing what fraction of the group is free.
  • The specific numbers (for example, 4/5 on Saturday, 3/5 on Sunday).

If every participant is available on both days, the card adds a celebration note: "Everyone is free this weekend!"

The card is teal-coloured to visually distinguish it from the other cards in the Insights panel, making it easy to find at a glance.


Why Weekend Pairs Matter

A single Saturday with high availability is not always the right choice if the Sunday of that same weekend has low availability. Some events naturally span both days (a trip away, a long weekend gathering) and you need both to work. Even for single-day events, organisers often want to see the whole weekend picture before deciding which day to lock in.

The Best Available Weekend card shows the Saturday and Sunday of the same week together, so you can evaluate the whole package rather than comparing individual dates in isolation. This is especially useful when you are considering a residential event, a camping trip, or any gathering where the context of the broader weekend matters.


How It Differs from the Best Available Dates List

The Best Available Dates list ranks all dates by raw participant count, without regard for whether they fall on a weekday or weekend. A Tuesday with five out of six people free will rank higher than a Saturday with four out of six.

For a weeknight team dinner, that is fine. For a group picnic, a birthday party, or a trip, you probably need a Saturday or Sunday regardless of whether a Tuesday scores marginally higher.

The Best Available Weekend card filters the data for your use case. It does not replace the full date list, it sits alongside it as a targeted answer to "which weekend should we pick?"


Using the Card in Practice

Open any event on WhosFreeWhen where participants have filled in their availability, and navigate to the Insights tab. The Best Available Weekend card appears toward the top of the panel.

Compare the per-day bars. If Saturday looks strong and Sunday is weaker, that might suggest a single-day event on Saturday. If both days show strong availability, a full-weekend plan becomes viable.

Cross-reference with the Best Date Recommendation card to see whether the system's top overall pick happens to fall on one of these days. Often it will, which gives you additional confidence in the choice.


When the Card Appears

The card shows up when:

  • The event's date range includes at least one Saturday and one Sunday.
  • At least one participant has filled in their availability.

If the date range is midweek only, the card will not appear since there are no weekend dates to analyse.


Frequently Asked Questions

What if two weekends have the same total availability? The card picks one based on which comes first and has the highest individual day count. You can always look at the full date list if you want to compare both weekends in detail.

Does the card include weekends that have already passed? No. It focuses on upcoming dates within the event's range, so dates in the past are excluded.

What if the event is a midweek team event and weekends are irrelevant? The card will not appear if there are no weekend dates in the range, so it will not be a distraction for purely weekday events.

Can I share the weekend recommendation directly with the group? Not as a direct share from the card, but you can note the dates from the card and include them in the nudge message or your own announcement.
