Not every event needs the same level of scheduling detail. A weekend trip only needs a date. A team meeting needs a specific hour. WhosFreeWhen lets the organiser pick the right level of precision for each event, instead of forcing every plan through the same one-size-fits-all grid.


Three Levels of Precision

When creating an event, or later from Schedule Settings, organisers choose one of three options:

  • All day — one answer per date. Best for picking a day for a trip, a night out, or anything where the exact hour does not matter yet.
  • Half day — a morning and afternoon answer for each date. Good for day trips, workshops, or anything split into two natural halves.
  • Hour slots — an answer per hour inside a chosen window. Best for meetings, calls, and anything that needs a specific start time.

Each option changes what participants actually see on the calendar, so the grid always matches what the group needs to decide.


Narrowing the Hour Window

Picking "Hour slots" reveals a second choice: which hours of the day should be offered. A full 24-hour grid is unusable in practice, since almost every group only cares about a slice of the day. Organisers pick a start and end hour, for example 9am to 6pm, and WhosFreeWhen shows the resulting slot count so it is obvious when a window is getting too long.

A tighter window keeps the grid quick to fill in. Offering more than about 12 slots in a day tends to slow responses down, so the picker nudges organisers toward a narrower range before that becomes a problem.


Changing Granularity After Creating an Event

Granularity is not locked in at creation. Organisers can adjust it later from Schedule Settings on the event page, which is useful when a "sometime this month" plan turns into a specific meeting that needs an exact hour. Existing responses are preserved wherever the change does not create ambiguity.


How to Use It

When creating a new event on WhosFreeWhen, look for "How precise should availability be?" above the date picker. Pick All day, Half day, or Hour slots, and for hour slots, set the window of hours to offer. To change it later, open the event and go to Schedule Settings.


Frequently Asked Questions

Which option should I pick? Use All day for anything where a date is enough, Half day when mornings and afternoons genuinely differ (day trips, festivals), and Hour slots when you need an exact meeting time.

Can I change granularity after people have responded? Yes, from Schedule Settings on the event page. WhosFreeWhen carries existing responses forward wherever the change does not make them ambiguous.

How many hour slots should I offer? Keep the window as tight as you can. Once it climbs past around 12 slots in a day, response rates tend to drop because filling in the grid takes longer.

Does this affect the Insights tab? Yes. Best Available Dates, the health score, and the other insights all work against whichever granularity the event uses, so an hour-slot event surfaces the best hour, not just the best day.
