What If Analysis: Know Who to Chase Before Sending a Generic Reminder
WhosFreeWhen's What If panel identifies exactly which participants could unlock a perfect date, so you know who to follow up with and why it matters.
If Alex fills in their availability, Saturday Jun 14 could be a perfect match for everyone.
There is a particular kind of frustration that comes with group scheduling: most people have responded, the data looks promising, but one or two people have not filled in their availability yet. Should you pick a date now? Wait for them? Send a chaser to the whole group?
The What If panel on WhosFreeWhen answers that question precisely, without any guesswork.
What the What If Panel Shows
When 1 to 3 participants have not yet filled in their availability, a predictive panel appears in the Insights tab. For each missing participant, the app checks whether there is a date where every person who has already responded is free. If such a date exists, the panel calls it out directly:
"If Alex fills in their availability, Saturday Jun 14 could be a perfect match for everyone."
This is genuinely useful information. It means you know, before you send any message, that Alex's response is the key piece of data. If Alex is free on June 14, you have a unanimous date. If Alex is not free, you need to look at alternatives.
Why Targeted Follow-Ups Work Better Than Generic Ones
Most group scheduling follow-ups go something like this: "Hey everyone, just a reminder to fill in the availability poll!" This gets sent to everyone, even those who have already responded, and it gives no specific reason to act.
The What If panel makes targeted follow-ups possible. Instead of a broadcast message, you can reach out directly to the person whose response actually matters right now, and give them a concrete reason to fill in their availability: "Hey Alex, everyone else is free on June 14 and we just need your dates to confirm. Could you fill it in today?"
That kind of message is far more likely to get a response than a generic nudge. It tells the recipient exactly why their input matters and what will happen once they provide it.
How It Works in Practice
Open your event on WhosFreeWhen and navigate to the Insights tab. If there are 1 to 3 participants who have not responded, look for the purple What If panel.
If a potential perfect date exists, the panel will name both the person and the date. You can then message that person directly through whatever channel works best (WhatsApp, text, email) with that specific information.
If the panel does not show a potential perfect date, it means that even if the missing participants respond, there may not be a date where everyone is free. In that case, picking the best available date from the current data is probably the right move rather than waiting indefinitely.
When the Panel Appears and When It Does Not
The What If panel is designed for a specific scenario: good participation but a small number of missing responses that could change the outcome. It only appears when:
- Between 1 and 3 participants have not yet filled in their availability.
- At least one other participant has already responded.
If nobody has responded yet, or if a very large proportion of the group is missing, the panel does not appear. In those situations the data is not yet meaningful enough to make a predictive assessment.

What if the What If panel shows a potential date but that person says they are not free? The panel updates once the participant fills in their availability. The recommendation will then reflect the new data.
Can I see What If analysis for more than 3 missing participants? At the moment the panel focuses on cases with 1 to 3 missing responders. With larger gaps, the data is not specific enough to make a meaningful prediction.
Is the What If panel visible to participants or only to the organiser? It is visible on the event page to anyone who opens the link, so participants can also see whether their response is the key to unlocking a date.
What if there is no potential perfect date even after everyone responds? In that case the panel will not show a specific date suggestion. You will still be able to use the Best Available Dates list and the recommendation card to pick the best compromise.
