Availability by Month: Quickly See Which Month Works Best for Your Group
WhosFreeWhen now shows a month-by-month availability breakdown in the Insights tab, making it easy to see at a glance whether June, July, or August is best for your group.
When you are trying to organise a group event over a long date range, like "sometime this summer" or "a weekend in the next three months," looking at individual dates can feel overwhelming. You end up scrolling through a long list of days, trying to spot a pattern that is not immediately obvious.
The Availability by Month overview in WhosFreeWhen gives you the higher-level picture first.
What the Monthly Overview Shows
When an event's date range spans two or more calendar months, a new "Availability by month" section appears in the Insights tab. Each month is displayed as a horizontal bar whose length is proportional to its average availability across all dates included in that month.
Percentage labels show you exactly what the number is, and a green "Best" badge highlights the month with the highest average. So if you are planning an event across June, July, and August, you might see:
- June: 62% average availability
- July: 48% average availability (Best)
- August: 35% average availability
That immediately tells you that July is where most people in the group are typically free, even before you look at individual dates within July.
Filling a Real Gap in the Insights Data
The existing breakdown of availability by day of the week (for example, "Saturdays tend to work best for this group") shows useful intra-week patterns. But it does not tell you anything about which month is more promising than another.
If your event's date range covers several months, the day-of-week data is not enough. You might know Saturdays are good, but not whether the Saturdays in June or the Saturdays in August work better for the specific people in your group.
The monthly overview fills that gap. Once you know which month has the best overlap, you can narrow your focus to that month, reducing the number of dates to consider and making the final decision much faster.
How to Use It
Open any event on WhosFreeWhen and tap the Insights tab. If your event covers multiple months and participants have started filling in their availability, scroll down to find the "Availability by month" section.
Use it as a filter for your thinking: start with the best month, then look at individual dates within it using the calendar or the Best Available Dates list. This narrows the decision from "pick from 90 dates" to "pick from around 30 dates" without losing any information.
When It Appears and When It Does Not
The monthly overview only appears when:
- The event date range covers at least two calendar months.
- At least one participant has filled in their availability.
For short date ranges (a single month or less), the monthly breakdown would not be meaningful, so it is hidden. The day-of-week breakdown and Best Available Dates list are more relevant for tighter ranges.
Frequently Asked Questions
What does the percentage represent? Each month's percentage is the average availability across all dates in that month that fall within your event's range. A 70% figure means that, on average, 70% of your group is free on any given day in that month.
Does the Best badge update as more people respond? Yes. Every new response recalculates the averages, so the Best month can change as data comes in.
What if two months are very close in availability? Both bars will appear with their percentages, and you can make a judgment call. The Best badge simply highlights the top-performing month; it does not mean the others are unsuitable.
Can I filter the calendar to show only the best month? The insights panel and calendar are separate views. The monthly overview informs your decision, but you then navigate to the calendar manually to look at specific dates in your chosen month.
Zoom Out Before You Zoom In
Good decisions about group scheduling often start with the right level of view. The monthly overview lets you zoom out first, see which part of your date range is most promising, and then zoom in to find the specific date that works.
