When you are not sure exactly when your group event should happen, it is tempting to set a very long date range for the scheduling poll. If you are thinking "sometime in the next three months," you might set a 90-day window to give everyone maximum flexibility.

The intention is good. The outcome is often counterproductive.


What the Advisory Shows

When you set a custom date range that exceeds 60 days in the WhosFreeWhen event creation form, an amber advisory banner appears below the date pickers:

"90-day window is quite long. Shorter ranges (4-6 weeks) tend to get faster, more complete responses. A big calendar can feel overwhelming."

A "Narrow to 4 weeks" link appears below the message. Clicking it automatically sets the end date to exactly four weeks after your chosen start date. You can adjust the resulting dates however you like, or dismiss the advisory and keep your original range.

The advisory only appears for custom date ranges. The built-in preset options (2 weeks, 4 weeks, 8 weeks) are already appropriately scoped, so they do not trigger it.


Why Long Ranges Hurt Response Rates

The problem with a 90-day calendar is not that it is technically difficult to fill in. It is that it feels overwhelming to look at. When a participant opens a WhosFreeWhen link and sees a three-month grid of dates, the task immediately feels larger than it is. That perception of effort is enough to cause some people to close the tab and come back later, and "later" often means never.

A four to six week window, by contrast, feels manageable. Most people can think clearly about their availability over the next month. The calendar is compact enough to fill in in a single sitting without feeling like a chore.

Response rates are consistently higher for shorter date ranges. More responses in a shorter time means you can make a decision faster. A 90-day window that only gets seven responses over three weeks is less useful than a four-week window that gets all twelve responses in the first few days.


How to Use the Advisory

If you prefer a longer range and the advisory does not change your mind, you can dismiss it and proceed. It is a suggestion, not a restriction. Some events genuinely require a wider window, for example, a large family reunion where people are travelling from different countries and need a long lead time.

But if you opened the date picker and set a wide range partly out of uncertainty rather than necessity, the advisory is a useful nudge. Use the "Narrow to 4 weeks" link to start with the recommended window, then see whether the responses you get are more useful.

If a four-week window does not produce a workable date after full participation, you can always create a new event with a different range. That is usually faster than waiting indefinitely for responses on an overwhelming 90-day calendar.


Other Strategies for Better Response Rates

The date range is one factor in getting good participation from your group. A few others that work well alongside a shorter range:

Include the event link directly in the message, not buried in a paragraph. The link should be the most visible thing people see.

Give a deadline. "Can everyone fill this in by Thursday?" works far better than leaving it open-ended.

Keep the event name clear and recognisable. People are more likely to fill in availability for "Sarah's 30th birthday dinner" than for an event called "untitled event."

Send the link when people are likely to be checking messages, not first thing on a Monday morning when inboxes are full.
