One of the most common questions organisers have after collecting availability from a group is: "okay, so which date should I actually pick?" Even with a clear colour-coded calendar showing availability, there is still a moment of scanning, comparing, and second-guessing.

The Best Date Recommendation Card removes that moment entirely.


What the Card Does

The card appears at the very top of the Insights panel on any event page. It synthesises all the availability data the group has submitted and gives you a single, concrete answer.

There are two versions of the card depending on the state of the responses:

The Recommended Date card (green). This appears when there is at least one date in your range where every single participant is free. It shows you the specific date and tells you exactly why it is the recommendation: for example, "All 5 people are free." When this card is showing, the decision is easy. Pick that date, announce it, and move on.

The Best Option So Far card (blue). This appears when you have a good spread of responses (at least half the invited participants have replied) and one date is clearly ahead of the rest by available count. It shows you the date with the most available people, how many of them are free, and how many participants have not yet responded. This lets you make an informed call even before everyone has weighed in.


Why This Matters

Before this card existed, reading the Insights panel involved scanning a list of data points and doing the mental work yourself. You might see "Saturday 14th: 4/5 free" and "Sunday 22nd: 3/5 free" and then wonder: is 4/5 good enough? Should I wait for more responses? Is there a date with 5/5 buried further down the list?

The recommendation card answers all of those questions in one line. You do not have to think about it. The logic is already done for you.

This is especially useful when you are trying to make a decision quickly or when you are checking in on an event from your phone and do not have time to parse a full data table.


How to Use It

Open any event you have created on WhosFreeWhen and tap the Insights tab. If enough participants have responded, the recommendation card will be the first thing you see.

If the green card is showing, you have your answer. Click to confirm that date and the event moves into confirmed status so participants can add it to their calendars.

If the blue card is showing, you have two options: pick the best option now, or wait a little longer for the remaining participants to respond. The card tells you how many are still outstanding so you can judge whether their responses are likely to change the outcome.


Frequently Asked Questions

What if two dates tie for the most available people? The card picks one and shows it. You can still see the full list of dates in the Insights panel below and choose the other if you prefer.

Does the card show when only one person has responded? The blue "Best Option So Far" card requires at least half the group to have responded. If participation is too low, the card will not appear yet, so as not to suggest a premature decision.

Can I override the recommendation? Yes. The recommendation is a suggestion, not a lock. You can confirm any date you like from the Insights panel or the calendar view regardless of what the card says.

What happens to the card once I confirm a date? The Insights panel updates to reflect the confirmed date, and the recommendation card is replaced by a confirmation message.
